Privacy Policy

Pipeworks (“we”, “us”) are committed to protecting and respecting your privacy. This Privacy Notice sets out the basis on which the personal data collected from you, or that you provide to us, will be processed by us in connection with our recruitment processes.

The Data Controller is Pipeworks, Inc.

We use Pinpoint, an online software product provided by The Infuse Group Ltd (t/a Pinpoint Software), to assist with our recruitment process. We use Pinpoint to process personal information as a data processor on our behalf. Pinpoint is only entitled to process your personal data in accordance with our instructions.

Where you apply for an opportunity posted by us, these Privacy Notice provisions will apply to our processing of your personal information.

Information we collect from you

We collect and process some or all of the following types of information from you:
  •  Information that you provide when you apply for a role. This includes information provided through an online application, via email, in person at interviews and/or by any other method. 
  •  In particular, we process personal details such as name, email address, address, qualifications, experience and any information relating to your employment history, skills and experience that you provide to us. 
  •  If you contact us, we may keep a record of that correspondence. 
  •  Details of your visits to our careers website including, but not limited to, traffic data, location data and other communication data, the site that referred you to our careers website and the resources that you access.
Categories of Personal Information We Collect

The personal information described in this Privacy Notice falls within the following categories. During the preceding 12 months, we have collected information within these categories in connection with recruitment:
  • Identifiers: Name, email address, mailing address and other contact details.
  • Personal information: Contact details, education and employment information contained in application materials.
  • Professional or employment-related information: Employment history, qualifications, skills, experience, application materials and recruitment correspondence.
  • Education information: Education history, degrees, certifications and other qualifications provided during recruitment.
  • Internet or other electronic network activity information: Careers-site visits, pages accessed, referral sources and related technical information.
  • Geolocation data: Approximate location derived from technical information about careers-site visits, where collected.
  • Inferences drawn from personal information: Interview evaluations, assessment results and conclusions about qualifications and suitability for a role.
  • Sensitive personal information: Health or disability information you voluntarily provide when requesting an accommodation during recruitment. We use this information to evaluate and provide requested accommodations and comply with applicable legal obligations.
We collect this information directly from you, through your use of our careers site, and from the public professional profiles and candidate databases described below. We use it for the recruitment, operational and legal purposes described under “Purposes of processing.”

During the preceding 12 months, we have disclosed the categories of personal information described in this Privacy Notice to Pinpoint and its authorized service providers as necessary to provide, host, secure and support our recruitment system. 

Within Pipeworks, relevant recruitment information, including résumés and application history, is available to interviewers and other personnel with a business need to evaluate candidates and administer recruitment.

Pinpoint provides us with the facility to link the data you provide to us with other publicly available information about you that you have published on the Internet – this may include sources such as LinkedIn and other social media profiles. 

Pinpoint’s technology enables us to search various databases, which may include your personal data, to find possible candidates to fill our job openings. Where we find you in this way we will obtain your personal data from these sources.

Lawful basis for processing

Where applicable data protection law requires a lawful basis for processing, we rely on legitimate interests to collect and use your personal data for recruitment, except where another lawful basis is required. Our legitimate interests include recruiting staff for our business and maintaining relevant recruitment history.

For California residents, we collect, use and retain personal information for the purposes described in this Privacy Notice, subject to applicable California privacy law.

Purposes of processing

We use information held about you in the following ways:
  •  To consider your application in respect of a role for which you have applied. 
  •  To consider your application in respect of other roles.
  •  To consult previous applications, interview notes, assessments, and recruitment decisions to inform future recruitment.
  •  To communicate with you in respect of the recruitment process. 
  •  To enhance any information that we receive from you with information obtained from third party data providers. 
  •  To find appropriate candidates to fill our job openings. 
  •  To operate, maintain and improve our recruitment processes and the recruitment services provided to us.
  • To comply with applicable legal obligations and establish, exercise or defend legal claims.
Disclosure of personal information

We disclose the categories of personal information described above to Pinpoint and its authorized service providers as needed to provide, host, secure and support our recruitment system.

We may also disclose relevant information to legal advisers, regulators or other authorities where necessary to comply with applicable law or establish, exercise or defend legal claims.

We do not sell any category of applicant personal information or share it for cross-context behavioral advertising, as those terms are defined under California law, and have not done so during the preceding 12 months. This includes information about applicants under 16 years of age.

Automated decision making / profiling

We may leverage Pinpoint’s technology to help us identify appropriate candidates for consideration based on criteria we have identified. Candidate identification may involve automated processing; however, decisions about who we will engage to fill a job opening will be made by our team.

Security

We take appropriate measures to ensure that all personal data is kept secure, including security measures to prevent personal data from being accidentally lost, or used or accessed in any unauthorized way. We limit access to your personal data to those who have a genuine business need to view it. Those processing your information will do so only in an authorized manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Unfortunately, the transmission of information via the Internet is not completely secure. Although we take reasonable measures to protect your personal data, we cannot guarantee the security of information transmitted online.

Where we store your personal data

The data that we collect from you and process using Pinpoint’s Services will be transferred to and stored at one of several datacenter locations in Amsterdam (Netherlands) and may be synchronized to one of several datacenter locations in London (United Kingdom) for backup and redundancy purposes. By submitting your personal data, you agree to this transfer, storing or processing. 

How long we keep your personal data

We retain candidate recruitment records for up to seven years from the time of application, where reasonably necessary for the purposes described in this Privacy Notice. These records include your identifiers and contact details, application materials, employment and education information, recruitment correspondence, interview notes, assessments and recruitment evaluations.

This retention period supports our ability to identify previous applicants, review prior interview history and recruitment decisions, evaluate repeat applications, consider candidates for future opportunities, and meet applicable legal obligations.

Internet or other electronic network activity information and approximate geolocation information stored with your application are retained for up to seven years from the time of application, or until an earlier deletion request is granted, subject to applicable legal exceptions.

Accommodation-related health or disability information stored in your candidate profile is retained for no longer than the associated recruitment record, up to seven years from the time of application, and only for as long as reasonably necessary to provide accommodations or meet applicable legal obligations.

EEO information you voluntarily provide is maintained in fully deidentified form, separately from your application, and retained for applicable equal employment opportunity recordkeeping and reporting purposes. It is not linked to your application or candidate profile.

We do not retain personal information longer than reasonably necessary for its disclosed purpose. 

At the end of the applicable retention period, we delete or deidentify the information, unless longer retention is required or permitted by applicable law, including for a legal hold.

You may request earlier deletion through the Manage Your Data tool or by contacting us below. Deletion requests are subject to identity verification and applicable legal exceptions. Where we retain information under an exception, we will explain the basis for doing so.

If you are hired, information transferred into your employment record will be subject to our employee privacy notice and applicable employment-record retention practices. 

Your rights

Depending on your location and applicable law, you may have rights to:
  • Access your personal information and receive information about how it is collected, used and disclosed.
  • Request correction of inaccurate personal information.
  • Request deletion of your personal information, subject to applicable exceptions.
  • Obtain a portable copy of your personal information.
  • Object to or restrict certain processing, including direct marketing.
  • Exercise rights concerning automated decision making.
  • Withdraw consent where processing is based on consent, without affecting the lawfulness of processing before withdrawal.
  • Lodge a complaint with an applicable data protection authority or seek other remedies available under applicable law.
Additional rights for California residents

If you are a California resident, you have rights under the California Consumer Privacy Act, as amended, including the right to:
  • Know the categories and specific pieces of personal information we have collected about you, the categories of sources, the purposes for collecting it and the categories of recipients to whom we disclose it.
  • Request deletion of personal information, subject to applicable exceptions.
  • Request correction of inaccurate personal information.
  • Exercise your privacy rights without discrimination or retaliation.
California law also provides rights to opt out of the sale or sharing of personal information and to limit certain uses or disclosures of sensitive personal information where applicable. We do not sell applicant personal information or share it for cross-context behavioral advertising, and we use and disclose sensitive personal information only for permitted purposes described above.

How to exercise your rights

To exercise your rights, email POps@pipeworks.com. You may also use the Manage Your Data tool for the functions available through that tool.

Please describe your request and provide your name and the email address used in your application. For an access request, you may specify a date range or request all available information, subject to applicable law.

Where verification is required, we verify requests by matching information you provide with our existing records and, where appropriate, confirming control of the email address associated with your application. We may request additional information reasonably necessary to verify your identity, depending on the request and the information involved. You do not need to create a new account to submit a request.

An authorized agent may submit a request on your behalf by emailing POps@pipeworks.com. Where permitted by applicable law, we may require proof of your signed authorization and may ask you to verify your identity directly with us or confirm that you authorized the request. Different requirements may apply where an agent acts under a valid power of attorney.

We respond within the time required by applicable law. For California requests to know, correct or delete, we will acknowledge receipt within 10 business days and generally respond within 45 calendar days. If a permitted extension is necessary, we will notify you within the initial response period and explain the reason.

If we cannot fulfill a request, we will explain the applicable reason or legal exception.

Changes to this Privacy Notice

We may update this Privacy Notice to reflect changes in our practices or applicable law.
